Division Assistant I

Responsibilities:
• Coordinates audit requests, commission payment and team bonus discrepancies between collector/team and Accounting Department; reviews available information to determine validity of request and forwards to Accounting for decision; reviews “negative” decisions by Accounting and if valid forwards to DM for further action. • Collects data and prepares spreadsheets with results and activities of target audiences (Team Managers or Recovery Specialists) for next level review and action (Team Managers or Division Managers). • Coordinates communication between DM and other departments, in order to provide or gather information, and coordinate resources and schedules (e.g. meetings and appointments, transferring collectors, obtaining inventory information, etc.). • Informs needed departments of new hire information in order to set up workstations, establish new inventories, etc; sets up training folders and other materials for each new hire. • Collects data and updates a wide variety of spreadsheets in order to provide current information to others as required. • Provides administrative assistance to the DM including preparation of expense reports, organizing e-mail and task folders, reviewing and prioritizing mail, filing and records maintenance, preparing meeting agendas, setting up training materials, etc. • Provides general office support to management team including processing forms, preparing letters, preparing expense reports, maintaining logs and records, faxes, calendars, etc. • Implements recognition programs and contests by tabulating data, determining recipients, and arranging for postings/awards. • Communicates with other departments to keep records reconciled accurately as required. • Other projects as assigned (e.g. assist with office picnic)
Required Skills and Knowledge:
• Ability to sit/stand at a work station for extended periods of time. • Occasionally able to lift/carry/push/pull 10lbs. • Repetitive use of right/left hands. • Keying frequently, handling, reaching, and fine manipulation.
Education and Experience:
• Ability to perform assignments and meet deadlines with minimal supervision. • Good verbal and written communication skills. • High School Diploma or equivalent • Three to five years general business experience. • Prior Recovery Specialist experience required; familiarity with Recovery Specialist processes/position responsibilities
